Saved repository views

A saved repository view stores a useful grid setup so you can return to it later. Views can include the selected entity type, visible columns, filters, sorting, and other display choices.

Use saved views for recurring questions such as:

  • “All applications owned by Finance.”
  • “Applications missing lifecycle dates.”
  • “Critical applications grouped by business capability.”
  • “Buyer and seller applications grouped by domain.”
  • “Systems that process EU customer data.”
  • “Controls with missing evidence or owner.”

Save a view

  1. Open Repository.
  2. Filter, sort, and adjust columns until the grid answers your question.
  3. Select Save this view.
  4. Give the view a clear name.
  5. Choose whether it belongs under Personal or Shared.

Reopen a view

Saved views appear in the Overview panel. Opening one restores the Repository page to the saved setup.

If you change a saved view after opening it, save the changes intentionally so teammates understand that the shared view has changed.

Export a saved view as CSV

After you open a saved view, you export it the same way as any other Repository grid. See Export the current view as CSV.

The CSV reflects the grid exactly as it is currently shown, so any small changes you make after opening the saved view are included in the export.

This is useful when you want to share or analyze the exact filtered view outside Caplo.

Personal vs Shared views

Use Personal views for work in progress. Use Shared views when the view represents a repeatable team workflow, such as a monthly application portfolio review.

Turn a view into a diagram

If a saved view contains a useful set of entities, you can use it as a starting point for a diagram. This works well when the grid helps you identify a subset of the repository and the diagram helps you discuss structure or relationships.
